RealtonSoft Consult ("we," "us," "our") operates the Konecktah platform ("Platform"), a booking and appointment management service. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our Platform.
By creating an account or using Konecktah, you agree to the collection and use of your information as described in this Privacy Policy.
1. Information We Collect
1.1 Information You Provide
Account Information:
- Full name (first and last name)
- Email address
- Phone number (optional)
- Password (stored in encrypted form only)
- Timezone preference
Business Information (for Business Accounts):
- Business name and description
- Business address (street address, city, state, postal code, country)
- Business phone number, email, and website
- Business location coordinates (latitude and longitude)
- Services offered, pricing, and availability schedules
Location Data:
- Business location (collected and stored): When registering a business, the business owner provides a physical address and geographic coordinates (latitude and longitude). We store this information and derive a geohash (a shortened geographic identifier) from the coordinates to enable proximity-based search functionality.
- Customer location (not stored): When a customer uses the "nearby" or proximity search feature, their device may share their current location. This location data is used solely at the time of the search to calculate distances to nearby businesses. We do not store, log, or retain customer location data. Once the search results are returned, the customer's location is discarded.
- No real-time tracking: Konecktah does not track the real-time location or movement history of any user, whether customer or business owner.
Booking Information:
- Booking details (service selected, date, time, staff preference)
- Customer notes provided at the time of booking
- Cancellation and reschedule reasons
Payment Information:
- Payment method used (Mobile Money, card, or bank transfer)
- Transaction amounts and references
- Payment and refund history
Note: We do not store your full payment card numbers or Mobile Money PINs. All payment processing is handled securely by our third-party payment processor, Paystack.
Reviews and Communications:
- Ratings and review comments
- Chat messages exchanged between customers and businesses regarding bookings
1.2 Information Collected Automatically
Usage Information:
- Login timestamps and session activity
- Account type and verification status
- Notification delivery and read status
Technical Information:
- IP address (recorded in audit logs for security purposes)
- User agent (browser/device information, recorded in audit logs)
1.3 Information from Third Parties
Google Sign-In:
If you choose to sign in with Google, we receive your Google account ID, email address, name, and profile picture URL. We only use this information to create and authenticate your account.
2. How We Use Your Information
We use your personal information for the following purposes:
- Providing the Service: Creating and managing your account, processing bookings, facilitating payments and refunds, enabling communication between customers and businesses.
- Notifications: Sending booking confirmations, reminders, cancellation notices, payment receipts, and other service-related communications via email and in-app notifications.
- Platform Operations: Verifying business accounts, resolving disputes, enforcing our Terms of Service, and preventing fraud.
- Analytics: Providing businesses with aggregated booking, revenue, and service performance analytics for their own operations. Providing customers with their booking history and spending summaries.
- Security: Maintaining audit logs of administrative actions, detecting unauthorized access, and protecting the integrity of the Platform.
- Legal Compliance: Complying with applicable laws, regulations, and legal processes.
3. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We share your information only in the following circumstances:
- With Businesses/Customers: When you make a booking, the business receives your name, email, phone number, and booking details necessary to provide the service. Customers receive business name, address, and contact details.
- Payment Processor: We share transaction details with Paystack, our payment processor, to facilitate payments and refunds. Paystack's handling of your data is governed by their own privacy policy.
- Email Service Provider: We use email delivery services to send transactional notifications (booking confirmations, receipts, etc.).
- Legal Requirements: We may disclose your information if required by law, regulation, legal process, or governmental request, or to protect the rights, safety, or property of Konecktah, our users, or the public.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
4. Data Storage and Security
- Your data is stored on secure servers with encryption in transit (TLS/SSL) and at rest.
- Passwords are hashed using industry-standard bcrypt encryption and are never stored in plain text.
- Authentication tokens are securely managed and expire automatically (access tokens: 30 minutes, refresh tokens: 7 days).
- Two-factor authentication (2FA) is available for additional account security.
- Administrative actions are logged in an audit trail for accountability.
We implement reasonable technical and organizational measures to protect your personal information. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.
5. Data Retention
- Active Accounts: We retain your personal information for as long as your account is active and as needed to provide you with our services.
- Deleted Accounts: When you delete your account, we retain your personal information only as required by applicable law (for example, financial transaction records may be retained for tax and regulatory compliance purposes). Personal data not required by law will be deleted or anonymized.
- Booking and Payment Records: Transaction records are retained as required by applicable financial regulations in Ghana.
- Audit Logs: Administrative action logs are retained for security and compliance purposes.
6. Your Rights
You have the following rights regarding your personal information:
- Access: You may view your personal information through your account settings.
- Correction: You may update or correct your account information at any time through the Platform.
- Deletion: You may request deletion of your account through our web form or by contacting us at contact@konecktah.com. Deletion is subject to legal retention requirements.
- Withdraw Consent: You may withdraw consent for optional data processing (such as marketing communications) at any time.
- Complaints: If you have concerns about how we handle your data, you may contact us or file a complaint with the relevant data protection authority in Ghana.
7. Children's Privacy
Konecktah is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age. If we become aware that we have collected information from a minor, we will take steps to delete that information promptly.
8. Third-Party Links
The Platform may contain links to third-party websites or services (such as business websites). We are not responsible for the privacy practices of these third parties. We encourage you to review their privacy policies before providing any personal information.
9. Cookies and Tracking
Konecktah does not use cookies for tracking or advertising purposes. We do not use third-party analytics or advertising trackers. Essential session cookies may be used solely for authentication and security purposes.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make changes, we will:
- Update the "Last Updated" date at the top of this policy.
- Notify you via email and in-app notification before the changes take effect.
Your continued use of Konecktah after the effective date of changes constitutes your acceptance of the updated Privacy Policy.
